Quick answer: Published US examples reviewed for this guide run from $250 a day for a 10-person conference room to $1,800 a day for a 25-person boardroom, with per-person day packages from $149 to $275. Those are advertised rental figures, not checkout totals. The number you need is the total for your agenda: room access, equipment, catering, service charges, tax, and anything else the day requires.
Our worked example below prices a straightforward 20-person meeting at $2,180.40 against a $600 room rental.
The same method works for a one-day business meeting, training session, board meeting, or offsite.
Published full-day rates
Start with the difference between a price for the whole room and a price for each attendee. These are specific published figures from named venues, reviewed October 13, 2026.
| Venue and room | Published day price | Listed capacity and equipment |
|---|---|---|
| Furman University, Greenville SC, Joyner Conference Room | $250 per room | 10 conference seats; 70-inch monitor |
| Furman University, Multipurpose Room | $600 per room | 70 classroom or 110 theater seats; projector, computer |
| Luminary, New York City, Small Boardroom (via LiquidSpace) | $1,000 per room | 12 people; wall-mounted screen and whiteboard |
| Luminary, Large Boardroom (via LiquidSpace) | $1,800 per room | Listing labels 25 people; screen and whiteboard |

These are advertised rental figures with the inclusions as listed. Do not treat them as final totals. Ask about external-booking eligibility, deposits, and anything the listing leaves out.
The spread isn’t explained by location alone. A university room in South Carolina and a Manhattan boardroom differ in capacity, setting, equipment, and operating model all at once, so the $250-to-$1,800 range tells you very little about what your own meeting should cost.
What a full-day package costs per person
A day meeting package bundles room use with specified daytime services. Compare its complete scope against a room rental plus the same services bought separately.
| Venue | Published day package | Selected inclusions |
|---|---|---|
| Maritime Conference Center, near BWI Airport, Maryland | Starting at $149 per person | Meeting space, lunch, morning and afternoon breaks |
| Wingspread Retreat & Conference Center, Racine, Wisconsin | $205 to $275 per person per day | Meeting room, lunch, breaks |
Sources: Maritime Conference Center; Wingspread meeting packages.
These are not equivalent quotations. Wingspread notes that additional rooms or special setups can cost extra. Ask each venue what its figure includes, what it excludes, and what the billable headcount is.
For arithmetic only: 20 attendees at $149 each is a $2,980 package base. That does not establish that any particular date, headcount, or agenda is available at that rate. Whether a package or itemized pricing wins depends on what your agenda uses.
How many hours is a full day?
A full day is whatever access period the venue defines. Confirm the start and end times rather than assuming you get the building.
An agenda running 9 a.m. to 5 p.m. usually needs the room from 8 a.m. to 6 p.m. for setup, a technical check, and removal. That is ten hours of access for an eight-hour meeting, which is how a day rate can turn into a day rate plus extra hours.
Record when the room must be ready, when attendees arrive, when the program ends and when the space has to be clear. Confirm what happens if you run over, and whether setup and teardown sit inside the quoted window or outside it.
Is a day rate cheaper than eight hourly bookings?
Sometimes. Compare the venue’s own rates.
Luminary’s Small Boardroom listing shows $150 per hour and $1,000 per day. Eight hours at the hourly rate is $1,200, so the day rate wins at that length. A three-hour meeting does not.
For your own booking, compare the day rate plus any additional access charges against the hourly price for every hour you need. Check minimum booking lengths and whether hourly rates change by time of day. A short meeting often costs less by the hour. An eight-hour agenda often needs a longer reservation than the advertised day block, and that can flip the comparison.
Which charges raise the final number
Ask the venue to label every requirement included, separately priced, optional, or not yet confirmed.
| Cost category | What to confirm |
|---|---|
| Room access and layout | Named room, seating configuration, setup, cleanup, additional hours, resets |
| Food and beverages | Menus, servings, refreshments, catering restrictions, minimum spend, final guarantee |
| AV and technical support | Displays, microphones, cameras, speakers, adapters, installation, operating labor |
| Internet | Included service, intended applications, wired connections, support, upgrades |
| Additional space | Breakouts, private lunch space, registration area, storage |
| Mandatory charges and tax | Every charge in dollars; percentage rates, their bases, what is already included |
| Attendee logistics | Parking, transportation, accessibility arrangements, any guest rooms needed |
A screen in the room does not establish that the room supports a hybrid meeting. Describe the job instead: remote presenters, attendee questions, recording, streaming. What to confirm about meeting Wi-Fi before booking covers the connectivity half, and what production details belong in a venue RFP covers the technical brief for anything more complex than a laptop and a display.
A capacity figure depends on the layout, too. Confirm how many people fit with tables, presentation equipment, and circulation space in the room, which is usually fewer than the headline number. What a capacity chart really tells you works through that, and how many breakout rooms a conference needs covers the additional-space row above.

Building the full-day budget
Work from the accepted scope: room rental plus required equipment and labor, catering, any additional access or space, mandatory charges, and tax.
For a package, start with the package rate multiplied by the billable participant count, then add the required items sitting outside it.
The example below is fictional. It prices a 20-person meeting with eight hours of room access, lunch and refreshments, basic AV, and organizer-paid parking.
| Cost item | Calculation | Amount |
|---|---|---|
| Meeting room | Eight-hour rental | $600.00 |
| AV equipment | Required equipment package | $200.00 |
| Lunch and refreshments | 20 people × $45 | $900.00 |
| Catering service charge | Assumed 20% × $900 | $180.00 |
| Tax | Assumed 8% × $1,880 | $150.40 |
| Parking paid by organizer | 10 vehicles × $15 final price | $150.00 |
| Total meeting cost | All listed items | $2,180.40 |
That is $109.02 per attendee, from $2,180.40 ÷ 20. The assumed tax base is $600 + $200 + $900 + $180 = $1,880, with parking priced as a final figure outside it.
Take both numbers to your finance team: the room rental is $600, and the meeting costs $2,180.40. A competing package has to cover that same scope before you can call it cheaper, and a package quoted at $149 per head covers $2,980 of it only if its inclusions match. The budget approval template sets out how to present that gap to an approver who is looking at the room rate.
A deposit changes the payment schedule, not the total. If it is credited toward this example, subtract it when calculating the remaining balance rather than treating it as a saving.
Approved changes on the day move the total too, which is why venue change orders belong in the same conversation as the original quote.
Does a food and beverage minimum replace room rental?
Only where the written offer says so. Ask whether rental is waived, reduced, or still payable; what catering counts toward the minimum; and what happens if you fall short.
Do not add the full catering minimum on top of eligible catering you have already ordered. Build the budget from the billable catering and treat the minimum as a threshold to clear, not a line item to add.
Food and beverage minimum vs meeting room rental works through the mechanics.
How to reduce the cost
Price the meeting you need before adding anything to it. For an executive discussion, a suitable room with a display may cover the whole agenda.
- Compare the same headcount, layout, meals, technology, and access hours across venues. The proposal comparison template keeps those columns aligned
- Ask about alternative dates if the program can move, then compare written totals rather than assuming any particular weekday is cheaper
- Choose a room that fits the working layout, and avoid paying for surplus space the agenda never uses
- Check whether an existing company agreement or membership applies, including any subscription cost in the comparison
- Price repeat or multiday sessions together where relevant, while checking what the commitment costs you in flexibility
- Review cancellation, date-change, and attendance-reduction terms alongside the price

Frequently Asked Questions
How much should I budget for a small meeting room for the day? ▾
Use current local listings as a starting point. The examples here include a 10-person room at $250 per day and a 12-person boardroom at $1,000 per day. Then add catering, AV, and mandatory charges for your agenda. In the worked example above, the rental is $600 of a $2,180.40 total.
Is meeting room pricing per person or per room? ▾
Either model is common. A room rental covers the booked space and its defined inclusions. A day package charges per billable participant and bundles specified services. Compare them on identical scope before deciding which is cheaper.
Does a full-day rental include lunch? ▾
Only where lunch is explicitly included. A rental listing often covers space and equipment while catering stays separate. Both day packages cited here include lunch; neither rental example does.
Is Wi-Fi and AV included in the daily price? ▾
Check the itemized inclusions. Confirm equipment quantity, connection requirements, installation, and support hours. “Included Wi-Fi” may mean basic guest access, which may not carry a hybrid session.
Can I book a meeting room without overnight guest rooms? ▾
Yes, where the venue offers day use. Day-use meeting rooms and day packages are routinely booked separately from accommodation. Confirm the arrangement and any eligibility conditions with the venue, since some properties restrict day bookings to certain accounts or lead times.
Why is the final bill higher than the advertised day rate? ▾
The advertised rate usually excludes catering, extra hours, equipment, labor, parking, mandatory charges, and tax. Approved changes during the event add more. The worked example above turns a $600 room into a $2,180.40 meeting without anything unusual happening.
