Wedding Weekend Venue Sourcing: A Multi-Event Brief for Professional Planners

Event Planning October 2026·8 min read

Quick answer: Wedding weekend venue sourcing works best when you treat the weekend as one project with four or five separate venue searches inside it. Map each event’s date, guest list, and payer first, then fix the hotel block and ceremony location, and source the welcome party, rehearsal dinner, after-party, and farewell brunch around them. Track every hold and rain plan in one shared brief.

Your couple signs on Monday. By Wednesday the groom’s parents want to host the rehearsal dinner, the bride’s aunt has offered her backyard for a welcome party, and nobody has said where the 140 out-of-town guests are sleeping. Each event needs a different venue, a different budget, and often a different person signing the contract.

This is for professional wedding planners sourcing several venues for one wedding weekend in the US. It builds on our single-venue wedding venue sourcing brief template and stretches it to cover every event from Friday arrival to Sunday checkout. It isn’t legal or contract advice. Your signed agreements govern.

Map every event and guest list first

Before you contact a single venue, list every event of the weekend in one table. Guest counts shrink and grow across the weekend. The welcome party might include everyone who traveled in, the rehearsal dinner only the wedding party and family, and the brunch whoever is still in town on Sunday morning.

EventTypical guest listQuestions to settle before sourcing
Welcome partyOut-of-town guests, sometimes all guestsOpen invitation or RSVP? Drop-in or seated? Does it double as a hotel welcome?
Rehearsal dinnerWedding party, family, officiant, partnersWho hosts and pays? Does it follow the rehearsal at the ceremony site?
Wedding dayFull guest listCeremony and reception at one site or two?
After-partyUsually a subset, often younger guestsIs it a separate venue or a later room at the reception site? What’s the end time?
Farewell brunchGuests still in townHotel restaurant or private room? Fixed start or open drop-in window?

Get a working number for each event in writing from the couple. You’ll revise it later, but venues can’t quote capacity or minimums without one.

Budget and decision authority per event

This is where weekend sourcing differs most from a single venue search. Several people may be paying. If the groom’s parents fund the rehearsal dinner, they’ll want a say in the venue and they’ll sign that contract, not the couple. Record each event’s payer, approver, and signer next to its budget line before you request prices.

Then set a budget for each event instead of one weekend total, which lets one event’s spending creep into another’s. Ask each venue the same cost questions: the minimum spend, how the service charge is worded, and what’s taxed. Our venue proposal comparison template lays those out line by line so quotes from a restaurant and a brewery sit side by side. For wider price context, see the 2026 wedding venue cost guide.

Location logic: hotel block, ceremony venue, transport

Book the ceremony and reception site first, then the hotel block. You’ll judge every other venue by how far it is from those two points.

Many hotels can also host the welcome party or brunch in a private space, which removes a shuttle run. But if the ceremony venue has no rooms nearby, you may be setting up a room block at a hotel that isn’t the venue, and then guests need a way to get from one to the other. Check the drive time at the actual event hour, not midday. A 15-minute trip at noon can stretch on a Friday evening.

Plan transport event by event. If guests will be drinking at the welcome party and the after-party, list a shuttle or a walkable venue in the brief as a requirement.

Holds and deadlines across several venues

With four or five venues in play, the holds are what usually go wrong. A restaurant releases your rehearsal dinner date while you wait on the ceremony site. Or the hotel block cutoff passes before anyone sent the booking link.

Keep one hold log for the weekend. Each row needs the venue, the event, the date held, the hold expiry, the deposit due date, and who has to approve. Work in this order:

  1. Ceremony and reception venue: contract first, since every other date depends on it.
  2. Hotel block: contract next, so you know where guests sleep. Our guide on how to reserve a wedding hotel block covers cutoff dates and attrition.
  3. Rehearsal dinner: usually tied to the rehearsal time at the ceremony site.
  4. Welcome party and farewell brunch: often easiest to place at the hotel.
  5. After-party: last, once you know the reception’s end time.

Release holds you won’t use as soon as a decision lands. Venues remember the planners who do that.

Weather backups for each event

Most planners write a rain plan for the ceremony. Fewer write one for the patio welcome party or the garden brunch. Every outdoor event on the weekend needs its own backup: a named indoor space, the latest time you’ll decide, and the person who makes the call.

Lightning needs a firm rule. The National Weather Service says there’s no safe place outside when thunderstorms are in the area, and that thunder can be heard only about 10 miles from a strike, so if guests can hear it, they’re within striking distance. Its rule of thumb is short: when thunder roars, go indoors. Put that into the venue brief so the venue manager knows you’ll move guests at the first rumble, not after the toasts.

Suggested sourcing order for a wedding weekend. Adjust for your couple’s priorities.

Text version of the infographic: Source in this order. 1) Ceremony and reception venue: date, capacity, rain plan. 2) Hotel block: room count, cutoff date, distance to venue. 3) Rehearsal dinner: host and payer, time after rehearsal, private room. 4) Welcome party and farewell brunch: open or RSVP guest list, indoor backup, hotel option. 5) After-party: reception end time, transport home, venue closing time. Keep one hold log and one rain plan per outdoor event.

Frequently Asked Questions

Should I source the weekend venues in one request or separately?
▾

Write one weekend brief and send it to every venue, but ask each venue to quote only its own event. That way every venue sees the same dates, guest numbers, and transport plan, and you can still compare quotes event by event.

Who usually pays for the rehearsal dinner and welcome party?
▾

It varies by family, and you shouldn’t assume. Record who funds each event and who signs its contract before you ask for prices, because that person approves the budget and the deposit.

How far should the weekend venues be from the hotel block?
▾

No fixed distance applies. Write down the drive time from the hotel to each venue at the real event hour, and plan shuttles for any event where guests will drink and can’t walk back.

Do I need a rain plan for the welcome party and brunch too?
▾

Yes, if either is outdoors. Name the indoor space, the decision deadline, and who makes the call for each outdoor event, not just the ceremony. The National Weather Service advises moving indoors when you hear thunder.

Can I place holds at several venues at once?
▾

Usually, if the venues offer courtesy holds. Log every hold’s expiry date in one place, and release the ones you won’t use so you don’t strain venue relationships.

Compare vendors for your next event

Search caterers, photographers, florists, planners, and rentals — then send one request to several vendors at once.
