Quick answer: Price a corporate offsite per person, per day: lodging nights plus a day meeting package or room rental plus dinners, activities, transport, and any planner fee, then divide by headcount and meeting days. In our three hypothetical budgets, built from published 2026 hotel packages and the federal per diem, that came to about $361 per person per day for a 120-person company offsite, $909 for a 40-person team, and $1,535 for a 12-person executive retreat, before airfare. Your quotes will differ. Use the template below with real numbers.
What is a corporate offsite? A corporate offsite, or company retreat, is a work gathering held away from the office, usually so a team or leadership group can plan, decide, or reconnect without the daily interruptions. People tend to say “offsite” for a working session of a day or two and “retreat” for a longer stay with more downtime, but companies use the words loosely. This guide covers the overnight version, where lodging is part of the bill. If you’re weighing an offsite against sending people to an industry event, see corporate offsite vs. conference.
Your VP wants a two-night leadership offsite next quarter and asks for a number by Friday. You have one hotel proposal with a room block, a meeting package with an asterisk, and a dinner menu. None of it is priced the same way, and finance wants one figure per person.
This is for corporate meeting planners, executive assistants, and people ops teams budgeting multi-day offsites and retreats in the US. For general per-attendee ranges across all event types, see our guide on corporate event cost per attendee. This post covers one format in more detail: the overnight offsite, priced day by day. It’s planning information, not a quote.
Why per person, per day works for offsites
A per-attendee total hides the thing that moves an offsite budget most: the number of nights. Adding one night adds a room night per person, another dinner, and often another meeting day. When you price per person, per day, you can compare a two-night retreat with a one-night offsite fairly, and you can see right away what an extra night costs.
Here is the formula:
Cost per person per day = (lodging + meeting package or room rental + dinners + activities and facilitation + ground transport + planner fee + contingency) / (attendees x meeting days)
Keep airfare as a separate line. It varies too much by origin city to belong in a per-day rate, and many companies book it through their travel program anyway.
Benchmarks you can cite to finance
Few public sources publish offsite-specific costs, so we used benchmarks you can check yourself. None of them is a US offsite average.
| Input | Figure | Source and what it means |
|---|---|---|
| Lodging floor | $113 per night | GSA FY 2027 standard CONUS rate, effective Oct 1, 2026. A federal reimbursement cap, with about 295 higher-rate areas. |
| Meals floor | $68 per day | GSA FY 2027 standard M&IE rate (tiers run $68-$92). Covers meals and incidentals for federal travelers. |
| Hotel rate trend | +1.7% ADR in 2026 | CBRE midyear 2026 outlook forecast for US average daily rate, 2026 and 2027. |
| Food cost trend | +3.5% in 12 months | BLS CPI, food away from home, 12 months ended September 2026. |
| Global meeting cost | $263 per attendee per day | GBTA and ALTOUR 2027 forecast, a global figure for 2026 (forecast $267 in 2027). Not offsite-specific or US-only. |
Read the GSA rates as a floor. Federal travelers often stay below what a resort or a lodge with meeting space charges in season. Still, finance teams recognize the number, and it gives you a defensible minimum.
The five lines that drive an offsite budget
Lodging nights
Lodging is room rate times nights times attendees, plus hotel tax. Tax rates vary by city and state, so ask the hotel for the combined rate. If people share rooms, divide by occupancy, but most corporate offsites assume one person per room. The room block also sets your exposure: if pickup falls short, room block attrition clauses can bill you for unused nights.
Day meeting packages vs. room rental
Many hotels sell a day meeting package (sometimes called a DMP or day delegate rate): one per-person price for the meeting room, breakfast, lunch, breaks, Wi-Fi, and basic AV. It’s the easiest line to budget per person, but check the minimums and what’s added on top.
| Hotel (2026 offer) | Per person | What it includes | Conditions |
|---|---|---|---|
| Sheraton Orlando Airport | $80 | Meeting room, breakfast buffet, buffet lunch, afternoon break, projector and screen, Wi-Fi, parking | Groups of 25 or more |
| Sheraton Orlando Airport | $60 | Meeting room, continental breakfast, pre-ordered lunch, afternoon break, TV with HDMI, Wi-Fi | Groups of 20 or fewer |
| Crowne Plaza Princeton | $149 | General session room, one breakout, breakfast and lunch buffets, two breaks, Wi-Fi, screen and projector | 20-guest minimum, plus 6.625% tax and 23% service fee |
The add-ons change the total quickly. At the Crowne Plaza Princeton rate, $149 becomes about $195 per person once the 23% service fee and tax are added (assuming tax applies to the service fee, which varies by state). Smaller groups that miss a package minimum may pay room rental plus menu prices instead. If you’re weighing the two models, our explainer on F&B minimums vs. room rental walks through how hotels decide.
Buyouts and minimum stays
Small lodges, boutique hotels, and retreat centers often sell an offsite as a buyout: you take the whole property, or a wing of it, for a set fee or against a spending minimum. Many also require a minimum stay, such as two nights on weekends. Both change the per-person math. A buyout priced for 30 guests costs the same whether 30 or 22 people show up, so divide by your realistic headcount, not the venue capacity. Ask for buyout terms, minimum-night rules, and the food-and-beverage minimum in writing before you compare venues.
Activities, facilitators, and transport
These are usually flat fees: a facilitator’s day rate, a guided hike, a charter bus. Flat fees hurt small groups most. A $6,000 facilitator adds $500 per person for 12 people and $50 for 120. Ground transport is similar. A shuttle from the airport may be a per-person fare for a big group and a private car service for an executive team.
Retreat planner fees
We couldn’t find a published, verifiable benchmark for corporate retreat planner fees, so we don’t quote a range. Planners typically charge a flat project fee, an hourly rate, or a percentage of total spend, and some are paid partly by venue commission. Our guide to hiring a corporate event planner covers fee structures, and the broader event planner pricing guide explains what each model includes. Whatever the model, add the fee as its own line so finance can see it.
Three hypothetical offsite budgets
These are hypothetical examples. They aren’t quotes or averages. They combine the published packages above with assumed room rates, dinner prices, and flat fees, listed under the table. Totals exclude airfare and include a 10% contingency. We checked the arithmetic in code.
| Line item | 12-person exec retreat | 40-person team offsite | 120-person company offsite |
|---|---|---|---|
| Nights / meeting days | 2 / 2 | 2 / 2 | 1 / 2 |
| Lodging (incl. 13% tax) | $7,838 | $17,086 | $21,560 |
| Meeting package or rental | $6,190 | $15,633 | $25,181 |
| Dinners | $3,462 | $8,918 | $11,016 |
| Activities and facilitation | $7,800 | $6,500 | $4,800 |
| Ground transport | $4,200 | $12,000 | $7,200 |
| Planner fee (assumed) | $4,000 | $6,000 | $9,000 |
| Contingency (10%) | $3,349 | $6,614 | $7,876 |
| Total | $36,839 | $72,750 | $86,633 |
| Per person | $3,070 | $1,819 | $722 |
| Per person per day | $1,535 | $909 | $361 |
Assumptions. Room rates: $289 a night (executive, resort-style lodge), $189 (team), $159 (company), all above the $113 GSA floor, with 13% assumed lodging tax. Meeting: the $149 Crowne Plaza Princeton package rate for the executive and team groups, plus $750 a day room rental for the 12-person group because it’s under the 20-guest minimum; the $80 Sheraton Orlando Airport package for the 120-person group. Dinners: $110, $85, and $70 per person per night. Every food line adds a 23% service charge and 6.625% tax. Flat fees: facilitator $6,000 (executive) and $3,500 (team), activities $150, $75, and $40 per person, transport $350, $300, and $60 per person, planner fee $4,000, $6,000, and $9,000.
The executive retreat costs about four times as much per person per day as the company offsite, mostly because flat fees and premium rooms are spread over 12 people. Change any input to match your quotes and the per-day rate updates with it.

Text version of the infographic: 12-person executive retreat, $1,535 per person per day; 40-person team offsite, $909; 120-person company offsite, $361. All hypothetical and before airfare. Federal benchmark: $113 lodging and $68 meals per day (GSA FY 2027).
Where offsite costs hide
- Service charge and tax on food. The 23% service fee on the Crowne Plaza Princeton package adds nearly a quarter to every food line before tax.
- Package minimums. Fall under the minimum and you may pay room rental or a small-group surcharge instead of the package price. Both packages we cite set a group-size threshold.
- Minimum stays and buyout floors. You pay for the nights and spend the venue requires, not the ones you planned.
- Attrition. Late dropouts can still cost a room night each if pickup falls below the contract threshold.
- Peak dates. Popular weeks sell out first, and rates rise with demand. Request quotes early and compare at least two date options.
If you’re still deciding between an offsite and a larger event, our offsite vs. conference comparison covers when each format fits.

Frequently Asked Questions
How much does a corporate offsite cost per person per day?
▾
It depends on the hotel rate, the meeting package, and how many nights you need. In our three hypothetical budgets it ran from about $361 to $1,535 per person per day before airfare. Build your own number from real quotes using the template above.
Is the GSA per diem a good offsite budget?
▾
Use it as a floor, not a target. The FY 2027 federal standard is $113 a night for lodging and $68 a day for meals and incidentals, and about 295 areas have higher rates. Resort and destination hotels often price above it.
What does a day meeting package usually include?
▾
It varies by hotel. The 2026 packages we checked bundle a meeting room, breakfast, lunch, breaks, Wi-Fi, and basic AV for one per-person price. Service charges and tax are added on top, and most require a minimum group size.
How much does a corporate retreat planner cost?
▾
We didn’t find a published, verifiable benchmark for retreat planner fees, so we don’t quote one. Planners price as a flat fee, an hourly rate, or a percentage of spend. Get at least two written proposals that state the fee basis.
Should we book a buyout for a small retreat?
▾
A buyout makes sense when you need privacy or the venue is small enough that your group fills most of it. Ask for the room-night and food-and-beverage minimums in writing and compare them with what your group would spend anyway.
